Role Overview

This role offers a great opportunity to join a busy and supportive administrative team within mental health services. You will provide essential administrative and secretarial support across two specialist services: the Forensic Community Service and the Secure Outreach and Transition Team.

As a key member of the team, you will work closely with healthcare professionals, patients, and external partners, helping ensure the smooth day-to-day running of clinical services.

Please note: applicants must already have the right to work in the UK, as this role does not meet the requirements for visa sponsorship.

What You’ll Be Doing

This is a varied and hands-on role where no two days are the same. Your responsibilities will include:

  • Acting as a first point of contact for patients, carers, and professionals
    Managing enquiries via phone, email, and in person, ensuring clear and timely communication
    Supporting clinicians with diary management and appointment scheduling
    Organising meetings, preparing agendas, and taking accurate minutes
    Maintaining and updating patient records and case files
    Liaising with other departments to ensure information is available when needed
    Carrying out general administrative tasks such as filing, photocopying, and ordering supplies

You will receive training and ongoing support to help you succeed and develop within the role.

Essential Requirements

Qualifications

  • Level 3 qualification (or equivalent experience), or willingness to work towards one
    GCSE (or equivalent) in Maths and English at Grade C/4 or above

Experience

  • Previous experience in an administrative or office-based role
    Experience in customer service (face-to-face or telephone)
    Experience managing workloads, organising tasks, and meeting deadlines
    Experience maintaining systems and handling data

Knowledge

  • Good working knowledge of Microsoft Office (Word, Excel, Outlook)
    Understanding of confidentiality and data protection principles
    Familiarity with office procedures and systems

Skills

  • Strong communication and interpersonal skills
    Good organisational and time-management abilities
    Attention to detail and accuracy in data entry and documentation
    Ability to work independently and as part of a team
    Competent keyboard and IT skills

Desirable Criteria

  • Experience working in an NHS or healthcare setting
    Knowledge of NHS systems
    Experience supervising or supporting colleagues

  • This role requires a Disclosure and Barring Service (DBS) check
    Applicants must have the legal right to work in the UK
    This position is not eligible for Skilled Worker visa sponsorship
    Travel may be required in line with service needs
