Administrator – Receptionist(UK Visa Sponsorship)

Role Overview

This is a great opportunity to join a welcoming front-of-house team within a community mental health setting. As a Receptionist/Administrator, you will be the first point of contact for patients, carers, staff, and external partners—making your role essential to creating a positive and supportive experience for everyone who visits or contacts the service.

You’ll play a key part in ensuring the smooth day-to-day running of the service while delivering a high standard of customer care.

What You’ll Be Doing

In this varied role, you will handle both reception and administrative duties, including:

  • Greeting visitors and service users in a professional and friendly manner
    Answering telephone calls and responding to enquiries
    Managing incoming and outgoing post
    Booking rooms and coordinating appointments
    Ordering office supplies and managing basic stock
    Handling prescriptions, petty cash, and transport bookings (taxis/patient transport)
    Arranging collection of pathology samples
    Maintaining visitor logs and clinic lists
    Entering and updating data accurately on patient systems
    Ensuring information displayed in reception areas is up to date

You will need to remain calm under pressure, communicate clearly, and maintain strict confidentiality at all times.

Working Environment

  • You will be based at Alexander House, a community mental health facility providing care and support to local people. You’ll work alongside an experienced reception and administration team, with full support through induction, supervision, and ongoing training.

What We’re Looking For

Essential Qualifications

  • Level 2 qualification (or equivalent experience) in administration or a related field
    Functional skills in English and Maths (Level 2 / GCSE Grade 4/C or above)
    Willingness to work towards further qualifications if required

Essential Experience

  • Previous experience in a customer service role
    Experience carrying out general administrative duties
    Data entry or database management experience

Desirable Experience

Experience within the NHS or a healthcare setting

Knowledge & Understanding

  • Awareness of confidentiality and data protection
    Understanding of office systems and processes
    Ability to manage calls and visitors professionally

Key Skills

  • Strong communication skills (verbal and written)
    Good attention to detail
    Ability to prioritise tasks and manage workload
    Confidence working independently and as part of a team
