Job Description

About the Role

At the University of Sussex, admissions systems play a vital role in shaping the applicant journey. As Assistant Admissions Systems Manager, you will help ensure these systems run efficiently while also contributing to their ongoing improvement and development.

Working alongside the Senior Admissions Systems Manager and colleagues within Communications, Engagement and Advancement (CEA), you will support both the operational delivery and enhancement of admissions platforms. This means balancing day-to-day system management with involvement in development work—helping to refine processes, introduce improvements, and ensure systems meet the evolving needs of staff and applicants.

You’ll act as a key connector between technical teams and operational users, helping translate business needs into system solutions and ensuring changes are properly tested and implemented.

This role aligns with UK standards around admissions processes and responsible data use

What You’ll Be Doing

This is a varied role combining operational responsibility with project support. You will:

  • Oversee the smooth running of day-to-day admissions system processes
Support system improvements by gathering requirements and drafting specifications
Test system updates before they go live to ensure reliability
Maintain clear documentation and audit trails for all system changes
Identify opportunities to improve efficiency and the applicant experience
Provide guidance and support to system users across the University

You’ll need to be comfortable switching between routine tasks and more complex project work, particularly during busy admissions periods.

About You

You’re someone who enjoys working with systems, solving problems, and making processes better. You bring a mix of attention to detail and strong communication skills.

You should have:

  • Experience in admissions or related areas such as enquiries, scholarships, or CAS compliance
Strong organisational skills and the ability to manage competing priorities
An analytical mindset with a focus on accuracy and improvement
Confidence communicating with both technical and non-technical stakeholders
The ability to translate operational needs into clear system requirements

Familiarity with UK student visa processes and compliance requirements would be an advantage
