Role Overview

Cambridge University Hospitals NHS Foundation Trust is seeking an organised, proactive, and patient-focused Senior Admissions Coordinator and Pathway Tracker to support the Oral and Maxillofacial Surgery (OMFS) service.

In this role, you will take ownership of surgical waiting lists and patient pathways, ensuring patients receive safe, timely, and well-coordinated care. You will work closely with clinicians, nursing teams, patients, families, and external providers to manage admissions, schedule inpatient procedures, and monitor national access targets.

This post is well suited to someone who enjoys working independently, takes initiative, and thrives in a fast-paced healthcare environment. While prior knowledge of NHS systems is desirable, full training will be provided.

Key Responsibilities

  • Coordinate and schedule inpatient surgical procedures for adult and paediatric OMFS patients
  • Manage and maintain surgical waiting lists in line with Trust policies and national NHS standards
  • Track and actively manage patient pathways, ensuring compliance with Referral to Treatment (RTT) 18-week standards and cancer waiting time targets
  • Liaise with patients, families, clinicians, wards, theatres, pre-assessment teams, and external providers
  • Arrange pre-operative assessments and admissions documentation
  • Monitor patient progress, identify delays or risks, and take corrective action where required
  • Ensure accurate data entry and high standards of patient confidentiality and data quality

Qualifications

Essential

  • Educated to A-Level standard or equivalent experience
  • GCSEs (or equivalent) in English and Mathematics
  • Evidence of ongoing professional development

Desirable

  • Qualification in administration or customer service

Experience

Essential

  • Proven experience managing and planning waiting lists
  • Experience working within healthcare or the public sector
  • Experience liaising with external agencies or independent providers

Desirable

  • Experience coordinating surgical admissions or theatre bookings
  • Experience working collaboratively across multidisciplinary teams

Knowledge

Essential

  • Strong understanding of waiting list management and booking processes
  • Awareness of NHS access and waiting time standards
  • Understanding of patient confidentiality, GDPR, and data quality

  • Competent use of NHS PAS systems

  • Ability to priorities workload independently and make decisions in the absence of management

  • Experience using EPIC patient administration systems
  • Experience using Microsoft Access or similar databases
