About the Role

The IT Purchasing & Operations Manager will oversee the management of software and technology-related hardware assets across their entire lifecycle. This includes planning, monitoring, and managing software licensing and hardware assets from acquisition to retirement, ensuring compliance with University policies, accounting controls, vendor agreements, and industry regulations. You will also support the development and execution of IT asset management policies and procedures, as well as strategies to optimize technology spending across the University.

About You

We are looking for an IT asset management professional with a deep understanding of hardware and software lifecycle management. The ideal candidate will have extensive experience in software licensing, compliance, and cost optimization. Experience in developing and implementing IT asset management policies and workflows is crucial, as well as the ability to maintain accurate asset inventories and automate processes for enhanced efficiency.

Principal Accountabilities

Asset Lifecycle Management: Oversee the lifecycle of IT assets from procurement to disposal, ensuring proper documentation and adherence to policies.

Asset Tracking: Maintain accurate and up-to-date inventory of all hardware and endpoint software assets.

Procurement Support: Collaborate with management to streamline hardware and software acquisitions while adhering to budget and compliance standards.

Software License Management (SAM/SAML): Ensure compliance with software licensing agreements, track renewals, and manage license allocation.

Hardware Maintenance & Support: Coordinate hardware maintenance, repairs, and replacements, ensuring proper record-keeping.

Disposal of Assets: Manage the secure disposal of retired IT assets, ensuring compliance with regulations and data security protocols.

Reporting & Analysis: Create regular reports and dashboards to track asset utilization, cost, and compliance, providing insights for decision-making.

Identify Underutilized Assets: Identify and analyze underutilized assets, recommending opportunities for repurposing or disposal to maximize value.

Collaboration: Work with internal teams to ensure effective communication and smooth asset management processes.

Policy Development: Contribute to the creation and enforcement of IT asset management policies.

Continuous Improvement: Stay updated on industry best practices and explore opportunities for automation and process improvement.

Person Specification

Essential Criteria

Qualifications: Undergraduate degree or equivalent experience.

Experience: Significant experience in IT hardware and software asset management in a large-scale environment. Experience with asset management software and tools.

Skills and Knowledge:

Strong understanding of hardware and software lifecycle management.

Expert knowledge in software licensing, compliance, and cost optimization.

Proficiency in data analysis and reporting.

Strong communication and organizational skills.

Excellent attention to detail and problem-solving abilities.

Proficiency in Microsoft Office.

Desirable Criteria

Qualifications: ITIL Version 4 certification.

Experience: Experience with supplier engagement and working with operational and technical teams to manage assets.

Knowledge: Knowledge of Change and Problem Management.
