Office Manager
About the Role
We are seeking an Office Manager to oversee the efficient daily operations of our office, ensuring seamless administration, health & safety, financial management, and staff coordination. This role is essential in managing work schedules, team performance, and compliance, while also optimising office functionality in alignment with our vision and values.
Key Responsibilities
Health & Safety
- Oversee site-wide health and safety compliance.
- Collaborate with the Health & Safety Manager to ensure regulations are met.
- Conduct risk assessments and attend quarterly health & safety meetings (travel may be required).
Budget & Financial Management
- Work closely with the Head of Facilities to create and manage budgets.
- First-line approval for expenditures, with second-line approval from the Head of Facilities.
Statutory Compliance & Service Levels
- Ensure compliance with all statutory regulations related to office operations.
- Develop and agree on service levels and provisions in collaboration with ROH and the Head of Facilities.
Process & Procedures
- Establish, implement, and maintain documented processes for service delivery.
Primary Contact & Helpdesk Management
- Serve as the first point of contact for site-related issues.
- Manage issue resolution, escalating matters to the Head of Facilities when necessary.
Reporting & Procurement
- Prepare monthly reports for review with the Head of Facilities and Board reporting.
- Oversee supplier contracts and procurement, liaising with the Contracts Manager.
Property & Facilities Management
- Coordinate with property management agents to resolve site issues.
- Support day-to-day operations, including housekeeping, security, and office space optimisation.
- Contribute to disaster planning and emergency response.

About You
We are looking for an organised and proactive professional with strong leadership skills and a commitment to maintaining a productive work environment.
Essential Skills & Experience
- Proven experience in administration, management, and ICT systems (Microsoft Office proficiency required).
- Health & Safety or management experience.
- Strong organisational and time management skills.
- Ability to lead and manage teams effectively.
- Strong communication skills with the ability to interact at all levels.
- Ability to work under pressure and meet deadlines.
- Problem-solving mindset with a professional and customer-focused approach.
- High level of confidentiality and discretion.
Desirable Skills
- Experience in managing budgets and operational procedures.
- Prior exposure to property, facilities, or logistics management.
