Service Operations Lead – Planning, Insight and Analytics
Grade 7: £40,497 – £45,413 per annum
Full-time, open-ended

About the Role
Are you a highly organised, proactive professional with a passion for service excellence and cross-team collaboration? The University of Glasgow is seeking a Service Operations Lead to manage the daily running of our Planning, Insight and Analytics service. This role is integral to ensuring seamless helpdesk operations, efficient workload management, and robust administrative and financial oversight. You’ll play a pivotal part in delivering agile, high-quality support across the university’s data and analytics landscape.
Key Responsibilities
- Operational Leadership: Oversee our customer-facing helpdesk and technology platforms, manage incoming queries, direct enhancement requests, and troubleshoot issues promptly.
- Service Development: Lead new initiatives and projects, setting and implementing policies and service standards to drive performance and innovation.
- Collaboration & Project Management: Implement and manage tools and practices that foster cross-team collaboration and ensure timely project delivery.
- Analytics Release Management: Coordinate the annual schedule for core analytics products, including accessibility checks, data protection compliance, technical documentation, and communications.
- Community Engagement: Support the Data & Analytics Community of Practice by organising virtual and in-person events that promote best practice and knowledge-sharing.
- Budget Oversight: Manage the service’s consumables budget, including forecasting, procurement, and financial reporting.
- Executive Support: Provide high-level administrative support to the Director and senior leadership, including organising events and coordinating travel.
- Staff Onboarding: Assist with the effective induction of new staff, ensuring a smooth transition into the service and wider University environment.
- Stakeholder Liaison: Maintain strong working relationships across key university departments and with third-party service providers.
What You’ll Bring
Essential Qualifications & Knowledge
- SCQF Level 9 qualification (Ordinary Degree or equivalent) or relevant work experience in a similar role.
- Proficiency in Microsoft 365 (Word, Excel, Outlook, PowerPoint), Zoom, and Teams.
- Working knowledge of finance and people management procedures, ideally within a university setting.
Desirable Knowledge
- Familiarity with ITSM/ITIL, Lean, Six Sigma, or Agile frameworks.
Essential Skills
- Excellent organisational, time-management, and communication skills.
- Strong problem-solving, analytical, and customer service capabilities.
- Confidence in using project management and collaborative tools.
- Ability to manage budgets in line with institutional policies.
- Proficiency in Microsoft Office, SharePoint, and data systems.
Desirable Skills
- Experience managing team performance and using content management systems.
- Familiarity with tools such as Microsoft Project, Jira, ClickUp, or Azure DevOps.
Experience
- Proven experience in service operations, customer-focused environments, and budget handling.
- Ability to work independently under pressure, resolve complex issues, and manage multiple priorities.
Desirable Experience
- Prior experience in higher education.
- Experience in helpdesk or service-based environments.
- Background in team leadership and collaborative project work.
