Location: Surrey and Borders Partnership NHS Foundation Trust
Role Overview:
The post holder will be a key member of the Chief Operating Officer Directorate, providing high-quality, confidential business and administrative support to the Deputy Chief Operating Officer (COO), the Partnership Operations Director for Mindworks, and the Chief Operating Officer (COO) as needed. The role is essential in ensuring the efficient running of the Directorate by supporting internal and external relationships and helping achieve key objectives.
As an integral team member, the post holder will enable senior leadership to manage the organisation effectively, ensuring smooth operations and supporting the team’s overall success.
Key Responsibilities:
Meeting and Event Organisation: Organise documentation for meetings, including agendas, minutes, action tracking, and deadlines. Attend meetings to take minutes as directed.
Primary Point of Contact: Serve as the first point of contact for the Partnership Operations Director for Mindworks, Deputy COO, and COO for both internal and external enquiries.
Meeting Briefs: Ensure senior leaders are fully briefed and provided with all necessary documentation before meetings and events.
Report and Document Production: Prepare and produce reports, papers, presentations, and other necessary documents within the required timeframes.
Diary Management: Manage complex diaries, ensuring appointments are scheduled and coordinated effectively. Prioritise high-level tasks and responsibilities in line with personal preferences and project goals.
Meeting Support: Provide high-quality support for meetings and corporate/divisional events, ensuring all logistics (invites, facilities, resources) are managed and meetings run smoothly.
