About the Role
We are pleased to offer an opportunity for a Band 2 Administration Assistant to join our Single Point of Contact (SPOC) team. This role is central to ensuring people can access community health services efficiently and with confidence.
As part of the SPOC administration team, you will act as the first point of contact for service users and referring health professionals. Your work will support the smooth flow of referrals, appointments, and waiting lists, helping clinical teams focus on delivering high-quality care.
What You’ll Be Doing
Referral & Appointment Management
- Receive and accurately process referrals into the Trust’s clinical systems
- Route referrals to the appropriate clinical teams for triage and allocation
- Book appointments and support effective waiting list management
Single Point of Contact
- Respond professionally to enquiries from service users and healthcare professionals
- Provide clear, courteous information while maintaining confidentiality and data protection standards
- Act as a reliable and consistent contact across multiple community service locations
Administrative Support
- Deliver a comprehensive administration service for Community SPOC
- Coordinate referrals across Scarborough, Ryedale, Whitby and Pocklington services
- Maintain accurate records in line with NHS information governance standards

Person Specification
Essential Qualifications & Knowledge
- GCSEs (or equivalent) in English and Maths
- Standard keyboard or IT qualification (e.g. RSA II, ECDL) or equivalent experience
- Knowledge of general office procedures and administrative work
- Strong literacy, numeracy and attention to detail
Desirable
- Three or more GCSEs (or equivalent)
- Working towards advanced IT/keyboard skills
- NVQ Level 2 or equivalent experience
- Knowledge of NHS or healthcare administrative procedures
Experience
Essential
- Experience dealing with members of the public
- Confidence using IT systems in an administrative setting
Desirable
- Experience in healthcare or community services
- Familiarity with NHS systems such as SystmOne

Pre-Employment Checks
This role requires an Enhanced Disclosure and Barring Service (DBS) check in line with the Rehabilitation of Offenders Act (Exceptions Order) 1975.
