Job Summary

We are seeking a motivated, friendly, and reliable Receptionist to join our busy Ophthalmology Department, located at Norfolk and Norwich University Hospital. You may also be required to work occasionally at the Central Norwich Eye Clinic on Grove Road.

You’ll be the first point of contact for patients attending their appointments, delivering an efficient, professional, and compassionate service. This role involves supporting the wider clinical and administrative team to ensure the smooth and effective running of the department.

Key Responsibilities

Provide front-of-house reception duties, greeting patients and handling enquiries in person and by telephone in a courteous and confidential manner.

Coordinate and maintain appointment bookings using the hospital’s Patient Administration System (PAS) and other relevant systems.

Support the clinical and administrative teams by preparing clinic documentation, retrieving patient notes, and ensuring investigation results are available.

Monitor the waiting area, ensuring patient safety and notifying staff of any concerns.

Log and prioritise telephone requests for investigations and tests as per department policy.

Understand and apply 18-Week Referral to Treatment (RTT) pathways and relevant codes.

Liaise with secretaries, departments, and external services to obtain case notes, referrals, and imaging where necessary.

Track and document the movement of patient notes in and out of the department.

About You – Person Specification

Qualifications:

A good standard of literacy and numeracy (e.g., GCSE or equivalent)

Essential Experience:

Previous administrative or clerical experience

Customer service experience (ideally within the NHS or healthcare)

Skills:

Confident communicator with strong interpersonal skills

Able to handle confidential information with sensitivity and discretion

Proficient in using computer systems and entering data accurately

Organised and able to prioritise tasks in a busy environment
