JOB DESCRIPTION
There is a vacancy at East Kent Hospitals University NHS Foundation Trust.
As a Project assistance Manager, you will play an important role in the Outpatient and Length of Stay transformation programme teams, assisting with programme delivery and monitoring against major milestones while also providing crucial administrative assistance.
You will be in charge of identifying and managing project risks, issues, choices, and actions; organising the content of project risks; and providing regular updates and returns. You will also be in charge of providing progress updates and delivering presentations.
You will collaborate with the Deputy Chief Operating Officer for UEC and OP Transformation, the Head of Outpatients, the Outpatients and Length of Stay project teams, General Managers, Care Group heads and other Trust-appointed project stakeholders. You will also collaborate with information and IT departments, estates personnel, external professional bodies, companies, and contractors.
• Help implement the outpatient transition and duration of stay workstreams.
• Provide administrative support, such as creating and maintaining efficient electronic file systems.
• Create presentations, reports, and other documents.
• Utilise project management skills to plan and complete projects and workstreams on schedule.
• Monitor project milestones, manage escalations, and ensure timely communication of plans and outcomes to all levels of the company.
• Analyse data to develop, assess, and track improvement projects.
Stakeholder coordination:
• Work with senior stakeholders to gather and convey difficult information in formal contexts.
• Plan and coordinate meetings and events for the Transformation team, such as booking spaces, preparing materials, and distributing documents.
• Consistently update and improve project documentation, templates, policies, and processes.
• Maintain version control and compliance with governance strategies.
• Keep track of important risks and issues in the project portfolio.
• Work independently on complicated situations, often with tight timelines.
• Work with both clinical and non-clinical teams to achieve improvement programmes.
• Provide and receive complicated information and deliver it to a variety of audiences, including executives, directors, and non-executives.
