About the Role
The University of Sussex is seeking an organized, proactive, and detail-oriented Executive Assistant to support the Director of the Student Experience Division. This role plays a vital part in helping deliver the University’s strategic goals related to student support and engagement.
As Executive Assistant, you’ll provide high-level administrative and organizational support. This includes managing complex diaries, preparing meeting materials, maintaining accurate records and systems, and acting as a key liaison between the Director and internal stakeholders — including senior leaders and professional service teams.
Key Responsibilities
Provide comprehensive executive support to the Director
Manage busy calendars and coordinate internal and external meetings
Maintain documents, records, and databases with a high level of accuracy
Prepare agendas, papers, and follow-up actions for key meetings and committees
Support effective communication and collaboration across teams and departments
Anticipate needs, take initiative, and ensure the Director’s day runs smoothly
About You

Is highly organized, with a proactive and forward-thinking approach
Can work independently while being a team player
Communicates clearly and professionally at all levels
Has strong administrative and IT skills (Microsoft Office, calendar management, document handling)
Understands the importance of confidentiality and professionalism
Thrives in a fast-paced, collaborative environment
Is committed to supporting strategic goals by enabling efficient operations at leadership level
Experience supporting a senior leader or director in a complex organisation is desirable.
