Role Overview

The University of Reading is seeking a highly organised and proactive Executive Administration Officer to join its Executive and Governance Office. This is a key support role positioned at the centre of university leadership activity, working closely with senior academic and professional leaders within the Research and Innovation portfolio.

You will provide high-level administrative and executive support to senior figures including the Deputy Vice-Chancellor, Pro Vice-Chancellor (Research and Innovation), and Associate Pro Vice-Chancellors. The role also offers occasional exposure to work directly supporting the Vice-Chancellor’s office.

This position is ideal for someone who thrives in a fast-paced, detail-driven environment and enjoys working closely with senior stakeholders.

Key Responsibilities

In this role, you will:

  • Manage complex diaries and coordinate competing priorities for senior leaders
    Arrange meetings, appointments, and briefings to ensure efficient use of executive time
    Act as a key point of contact for internal and external stakeholders
    Handle confidential correspondence and prepare professional communications on behalf of senior staff
    Provide secretariat support to committees, including agenda preparation, minute-taking, and follow-up actions
    Support the planning and delivery of major university events such as Open Days and Graduation ceremonies
    Collaborate with colleagues across the Executive and Governance Office to ensure continuity of service

Skills and Experience Required

Essential Requirements

  • Proven experience in a busy administrative or executive support role
    Strong ability to manage multiple priorities and meet tight deadlines
    Excellent attention to detail and high standards of accuracy
    Confident handling of sensitive information with discretion
    Strong IT skills, particularly Microsoft Office and Microsoft Teams

Communication & Organisation

  • Ability to communicate clearly and professionally with senior stakeholders
    Strong interpersonal skills and a collaborative working style
    Experience producing accurate records, minutes, and documentation
    Ability to work independently and use initiative to solve problems
