Job Description

Tees Esk and Wear Valleys NHS Foundation Trust is looking to recruit an organised and motivated Clinical Team Secretary to support the Community Adult Mental Health Team based at Parkside CMHRC. This permanent Band 3 opportunity is ideal for candidates who enjoy administrative work within a healthcare setting and are passionate about supporting mental health services.

The successful candidate will become part of a professional multidisciplinary team delivering high-quality care and support to adults accessing community mental health services across the region.

Position Overview

This role involves providing comprehensive administrative and secretarial support to clinical teams within a busy and fast-moving mental health environment. The post requires excellent organisational skills, strong communication abilities, and confidence working with confidential information and healthcare systems.

Applicants should be comfortable managing multiple tasks simultaneously while maintaining professionalism, accuracy, and compassion when dealing with patients, carers, and healthcare professionals.

Key Responsibilities

  • Provide day-to-day administrative support to multidisciplinary mental health teams
    Organise meetings, prepare documentation, and accurately record meeting minutes
    Manage telephone enquiries from service users, carers, and partner organisations
    Monitor and respond to shared team email inboxes
    Support clinicians with dictation and preparation of correspondence
    Maintain electronic records and update healthcare systems accurately
    Assist with diary coordination, filing systems, and general office administration
    Support wider reception and secretarial services when required
    Ensure confidentiality and data protection procedures are followed at all times

Essential Skills & Experience

Required Experience

  • Previous experience working within an administrative or secretarial role
    Experience coordinating meetings, diary management, and handling correspondence
    Strong customer service skills including telephone and face-to-face communication
    Ability to manage workloads independently and prioritise effectively
    Experience maintaining office systems and administrative processes
    Excellent organisational and time-management skills

Technical Knowledge

  • Strong understanding of Microsoft Office applications
    Knowledge of confidentiality and data protection principles
    Understanding of general office procedures and administrative systems

Qualifications

  • Level 3 qualification in a relevant subject area, or equivalent experience
    Willingness to work towards a Level 3 Business Administration qualification if required
    GCSE/O Level qualifications in English and Mathematics (Grade C/4 or above)

Desirable

  • Knowledge of NHS systems and healthcare administration
    Previous experience within a clinical or mental health environment
    RSA qualifications or equivalent secretarial training

Working Environment

The Community Adult Mental Health Team works within a supportive and collaborative environment focused on improving patient wellbeing and recovery. Staff are encouraged to contribute ideas, work proactively, and support service improvement initiatives across the Trust.

The role may also involve occasional work across additional Trust locations depending on service needs.
