Job Description
Leeds Teaching Hospitals NHS Trust is currently recruiting enthusiastic and organised individuals to join the Adult Therapies & Psychological Services Outpatient Administration Team on a permanent full-time or part-time basis. This opportunity is ideal for candidates who enjoy working in a fast-paced healthcare environment and are passionate about delivering excellent patient support services.
The role is primarily based at St James’s University Hospital, although successful applicants may also work across additional hospital sites when required.
Role Overview
As part of the Outpatient Administration Team, you will support the smooth operation of outpatient clinics across a wide range of therapy and psychological services. The role combines reception duties, appointment coordination, patient communication, and administrative support to ensure patients receive a professional and efficient healthcare experience.
The department manages approximately 80,000–90,000 outpatient appointments annually across services including Physiotherapy, Occupational Therapy, Speech & Language Therapy, Podiatry, Dietetics, and Clinical Psychology.
Main Responsibilities
- Manage and process patient referrals accurately
Coordinate and arrange outpatient appointments
Welcome and assist patients at reception areas
Maintain and update patient information on NHS systems
Respond to patient enquiries via telephone, email, and face-to-face interaction
Support clinicians and outpatient teams with administrative tasks
Ensure confidentiality and accuracy in handling patient records
Work collaboratively within a busy multidisciplinary environment
Skills & Experience Required
Essential Skills
- Strong written and verbal communication abilities
Good customer service and interpersonal skills
Ability to multitask and work under pressure
Flexible and adaptable approach to work
IT literacy and confidence using administrative systems
Previous clerical or administrative experience
Desirable Experience
- Previous NHS administration experience
Experience working with members of the public in a professional environment
Understanding of healthcare administration processes
Educational Background
Ideally educated to GCSE level (including Maths and English) or equivalent qualifications
