International Admissions Manager: Role Outline
As the International Admissions Manager, you’ll be instrumental in leading our international student enrolment, ensuring we meet our recruitment targets, and delivering exceptional customer service to families worldwide. You’ll report directly to the Head of Admissions, collaborating closely with key school leadership including the Principal, Heads of School, Director of Boarding, and Head of Marketing, to maximize student recruitment and retention. This role is key to promoting Claremont as the international school of choice and championing our “Amazing Learning” philosophy.

Your Impact: Key Responsibilities
This role combines strategic recruitment with meticulous operational management, ensuring a seamless experience for international families.
1. International Student Admissions & Recruitment:
- Lead the entire international admissions process for both Prep and Senior Schools.
- Manage enquiries from our Hubspot CMS database, tracking every step of the admissions procedure.
- Provide quick, intelligent, and warm responses to prospective families, offering a friendly, organized, and efficient customer journey.
- Arrange visits and interviews (in-person or online), ensuring staff are well-informed and prepared.
- Proactively follow up on all enquiries, visits, and interviews to secure registrations and formal applications.
- Respond swiftly to agent enquiries on behalf of families.
- Record and analyze reasons for non-progression to formal application.
- Ensure all enrolled children undergo appropriate academic assessment or interviews with relevant academic staff (including Head of Learning Support for those with learning difficulties).
- Coordinate “Taster Day” experiences, ensuring all involved staff are fully briefed.
- Oversee comprehensive administration for new pupils, including securing parent signatures on acceptance forms, terms and conditions, medical forms, and other necessary permissions. Crucially, manage all CAS (Confirmation of Acceptance for Studies), student visa, and flight arrangements for international students, accurately recording them on the MIS system.
- Provide a detailed “Joining Pack” for each new family before their child starts school.
- Liaise with the School Office on pupil number changes, keeping Heads of School and the Director of Boarding informed of all leavers and joiners.
- Coordinate scholarship assessments, communicate details, provide feedback to parents, and maintain accurate records.
- Act as the UKVI (UK Visas and Immigration) Student Visa Key Contact for Claremont, ensuring full compliance with student visa sponsorship regulations and all UK visa requirements are met.
2. Maximizing Student Intake & Retention:
- Support the Head of Admissions by tracking information, maintaining accurate records, and providing real-time forecasts for registered and prospective students to inform KPI reports.
- Collaborate with Heads of Key Stages/Schools to arrange transition events for parents, monitoring student movement, and organizing personal meetings with families to aid retention.
- Establish and grow relationships with educational agents globally, staying current on the school’s international offerings.
- Visit new and existing markets to promote the school’s admissions priorities as appropriate.
- Stay informed about market conditions, recruitment trends, and emerging markets, sharing insights with relevant school staff to inform strategy.
3. Driving Engagement & Partnerships:
- In consultation with the Head of Admissions, Director of Boarding, and Head of Marketing, develop and embed an effective international student recruitment strategy, including identifying new markets and fostering new agent relationships.
- Work closely with the Head of Marketing to ensure messaging is relevant across international and domestic markets, advising on marketing collateral, translated materials, and social media content.
- Collaborate with Heads of Schools and the Head of Marketing to share “Amazing Learning” successes, influencing new leads and retention.
- Assist with organizing Open Events and corporate events involving local businesses for recruitment and retention.
- Work with the Head of Admissions to organize Familiarisation Agent visits to the School and attend national and global recruitment fairs as required.
- Support Heads of Schools in building mutually beneficial relationships with feeder schools, universities, local businesses, government entities, education agents, and other organizations to maximize recruitment and retention.

- Exceptional organizational abilities.
- High proficiency in Microsoft Office (Word, PowerPoint, Excel); familiarity with HubSpot and Engage is a plus.
- Strong customer service ethos and excellent problem-solving skills.

- A Degree, relevant professional qualifications, or equivalent work-related experience.
- A minimum of 4 years’ experience working within a school’s admissions team is preferable.
- Existing relationships with educational agents would be a significant asset.
