Job Description
Job Purpose
To serve as the primary point of contact and support for a number of Principal Investigators (academic research leaders) throughout the college for pre- and post-award research management, including application and costing assistance, as well as post-award project tracking and reporting.
To collaborate with other teams within the College Research Support Office and University Services to ensure effective communication and a consistent research management support service is provided to Principal Investigators.
To collaborate with other college Project Coordinators on college-wide research management support activities, as well as multidisciplinary engagement among colleges and with external partners.
Main duties and responsibilities
1. Provide pre- and post-award guidance and support to Principal Investigators as needed, from the initial identification of the funding opportunity to the project’s end. This will cover application development, costing, bid writing support as needed, milestone planning, post-award reporting, and finance management.
2. Collaborate with College research development professionals to identify and manage the pipeline of funding opportunities, as well as with the University Services Research Support Office on funder terms and conditions and other specialist advice, such as legal, insurance, and contractual problems.
3. Establish and maintain suitable relationships with major funders, and offer professional advise to prospective candidates.
4. Conduct risk and feasibility assessments on potential funding proposals to reduce risk and optimise financing.
5. Coordinate, plan, prioritise, and carry out grant and contract application, costing, and submission operations (including bid writing support as needed), resulting in strong submissions for approval and timely submission to funders.
6. Progress application outcomes and funder awards, obtaining input from funders where possible and updating the system accordingly. Maintain and secure any essential project data on University systems.
7. Provide post-award support, including assistance with ethics applications, project coordination, portfolio management (where applicable), financial management, and project change processes and controls.
8. Support funder and other audits by maintaining proper audit documents and attending auditor meetings as needed.
9. Provide management information and data analysis to support both day-to-day decision making and college research budgeting and strategy. Support future College applications to the Research Excellence Framework.
10. Actively participate in relevant cross-college collaborations to build networks, discuss best practices, provide web-based resources, and provide training.
11. Collaborate with Principal Investigators and other College teams to ensure that the College keeps an accurate and comprehensive record of staff publications. Encourage a knowledge of Open Access and assist in the process of getting open access rights for all potential articles.
12. Collaborate with Research Support Administrators, distributing responsibilities as needed and giving guidance and coaching to Principal Investigators to provide effective research administration support.
13. Collaborate with college HR and Principal Investigators on workforce planning across bids and awards to enhance the efficient use of research teams while minimising staffing disruption.
Knowledge, qualifications, skills, and experience.
Essential knowledge and qualifications:
A1 Degree or equivalent in a relevant discipline/business area, with proof of ongoing professional growth in a field relevant to the role.
A2 Understanding of the higher education research environment.
A3 Understanding of grant application processes, including costs and funder guidelines.
A4 Knowledge and understanding of database interrogation and maintenance.
A5 Knowledge and awareness of data integrity and its significance.
Desirable:
B1 PhD or knowledge and expertise in a topic related to the College.
B2 Understanding of the regulatory structure that controls research in a certain College area.
Essential skills:
C1 Project management – both short-term deadline-driven and long-term, with various competing deadlines and cooperation across multiple organisational divisions.
C2 Demonstrates excellent oral and writing communication skills and the capacity to communicate at all levels.

E1 Proven expertise in relevant research administration or project management in a similar or related job.
E2 Experience with data processing, analysis, and presentation.

E5 Experience providing a customer-focused service.
E6 Successful experience operating inside a complicated matrix organisational framework.
Desirable:
F1 Experience in the higher education environment and supporting academic work.
F2 Experience conducting research in academics.
F3 Proven ability to provide high-quality counsel and recommendations on research management.
Terms & Conditions.
The annual salary for Grade 7 will range between £39,347 and £44,263.
This position is full-time (35 hours per week) and open-ended (permanent).
