About the Opportunity
An exciting opportunity is available for an Outpatient Booking Officer to join the busy outpatient administration team at King’s Mill Hospital.
This role is ideal for someone with strong organisational skills who enjoys working in a fast-paced healthcare environment. As part of the outpatient team, you will play an important role in ensuring patients receive timely and well-coordinated appointments.
The position requires excellent communication skills, attention to detail, and the ability to work collaboratively with clinical teams while maintaining a high level of customer service for patients.

Key Responsibilities
The Outpatient Booking Officer will provide administrative support to ensure outpatient clinics run efficiently and patients receive appropriate appointment scheduling.
Appointment Coordination
- Arrange, reschedule, and cancel outpatient appointments using hospital scheduling systems.
- Ensure clinic slots are used efficiently to maximise patient access to services.
Patient Communication
- Ensure appointment letters and relevant documentation are sent to patients promptly.
- Provide accurate information to patients regarding clinic arrangements.
Administrative Support
- Process referrals and manage appointment bookings within the Careflow system.
- Register ASI dummy referrals and ensure compliance with Referral to Treatment (RTT) pathways.
Collaboration with Clinical Teams
- Work closely with consultants, the Booking Support Unit (BSU), and clinical staff to coordinate appointments effectively.
- Facilitate bookings for patients discharged from inpatient wards or specialist units.
Training and Team Support
- Maintain up-to-date mandatory training requirements.
- Provide support to colleagues and contribute to a positive team environment.
Person Specification
Essential Skills and Knowledge
Applicants should demonstrate:
- Proficiency in Microsoft Outlook and other office software
- Strong communication skills when working with colleagues and patients
- Ability to work effectively as part of a team
- Strong organisational and time-management abilities
- Capability to prioritise tasks and work under pressure
- Flexibility and willingness to adapt to new systems and procedures
Desirable Skills
The following experience would be advantageous:
- Understanding of the NHS 18-week referral-to-treatment pathway
- Familiarity with hospital systems such as Medway
- Administrative qualifications such as NVQ Level 2 in Administration or ECDL
- Experience working in customer service or administrative roles
