Role Overview
The University of Reading is seeking a proactive, detail-oriented Executive Support Officer to provide high-level administrative and operational support to the School of Philosophy, Politics & Economics. This role offers a unique opportunity to contribute to a vibrant academic environment, supporting senior leaders, managing complex schedules, and coordinating key school initiatives.
As part of your role, you will act as a pivotal point of contact for internal teams, external visitors, and stakeholders, ensuring smooth and efficient operations across the School.
Key Responsibilities
Administrative & Executive Support
- Manage diaries, meetings, and correspondence for senior faculty and administrative leaders.
- Coordinate internal and external communications, acting as a key liaison for visitors and stakeholders.
- Provide support for key projects, ensuring deadlines are met and priorities are effectively managed.
Event & Project Coordination
- Organize events, workshops, and conferences, both on-campus and virtually.
- Act as a first point of contact for visitors, managing logistical arrangements and queries.
- Support strategic initiatives, helping to implement process improvements and workflow efficiencies.
Data, Reporting & Finance
- Prepare and maintain accurate records, reports, and presentations for the School.
- Assist with budget monitoring, expenditure reporting, and financial administration tasks.
- Ensure compliance with university policies and procedures.
Skills & Experience Required
- Strong organisational and time management skills, with the ability to manage competing priorities.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and other relevant IT systems.
- Experience in administrative roles, including event coordination and stakeholder management.
- Excellent communication skills, both verbal and written.
- Positive, flexible, and collaborative approach to problem-solving.
