Role Overview

Tees, Esk and Wear Valleys NHS Foundation Trust is currently recruiting a Clinical Team Administrator to support healthcare services within HMP Durham. This position involves providing administrative support to two key teams: the Mental Health Team and the Integrated Support Unit.

Working within a secure prison healthcare environment, you will become an important part of a multidisciplinary team that delivers coordinated and compassionate care to patients. The role requires someone organised, reliable, and comfortable managing a variety of administrative tasks in a fast-paced clinical setting.

Key Responsibilities

Administrative Support

You will provide day-to-day administrative assistance to clinical teams, ensuring operations run smoothly and efficiently. This includes managing documentation, maintaining patient records, and supporting healthcare professionals with organisational tasks.

Communication and Enquiries

  • As one of the first points of contact for the service, you will handle enquiries from healthcare professionals, prison staff, and other stakeholders. You will ensure messages are passed on promptly and accurately to the relevant team members.

Diary and Appointment Coordination

  • You will assist with scheduling appointments, organising meetings, and maintaining staff diaries to support the coordination of clinical services.

Meeting Administration

  • Responsibilities include preparing agendas, distributing documents, taking meeting minutes, and ensuring accurate record-keeping.

Patient Records Management

  • You will maintain patient case notes and ensure files are prepared and accessible for appointments or admissions. This may involve liaising with other departments or healthcare sites.

General Office Duties

Additional duties include ordering office supplies, maintaining filing systems, photocopying documents, and supporting other administrative processes as required.

Essential Qualifications

Applicants should have one of the following:

  • Level 3 qualification in a relevant field, or
  • Equivalent work experience, or
  • Willingness to work towards a Level 3 Business Administration qualification

Additionally, candidates must have:

  • Level 2 literacy and numeracy skills
  • GCSE (Grade 4–9) or equivalent qualifications in English and Mathematics
  • Information on recognised UK qualifications
