Detailed job description and primary responsibilities

1.1 Assist the Pharmacy Technician Specialist MMT in providing efficient, accurate, and adaptable near-patient service to hospital wards.

1.2 Ensure all relevant workers read and adhere to medicines management policies, procedures, and standards, whether new or revised.

1.3 Responsible for developing and managing ward top-up services, including regular stock sheet updates.

1.4 Assists chemists in implementing and monitoring the self-administration plan for patients in specific clinical areas.

1.5 Assists chemists in delivering complete patient counselling services to in-patients, especially with discharge medication.

1.6 Communicate with chemists daily to discuss actions and provide comments on clinical difficulties.

1.7 Responsibilities include managing medicines in assigned wards, including checking and assessing patients’ own drugs, taking drug histories for new patients, providing counselling services, ordering in-patient and one-stop medicines, and annotating drug charts according to SOP. These activities will be overseen, and performance will be assessed until the candidate has completed in-house training and competence.

1.8 Liaise with ward personnel and verify Cerner on the Trust computer system to oversee medicine transfers or returns after patient transfers or discharges.

1.9 Assist with data collection and analysis, including clinical audits, as requested.

1.10 Provide support for ward-based projects, including staff training.

1.11 Support satellite dispensing on wards for efficient patient discharges and near-patient dispensing.

2.DISPENSABLE RESPONSIBILITIES

2.1 Coordinate daily operations of the dispensary and personnel, focusing on workflow, patient wait times, and workload priorities.

2.2 Support and instruct dispensary staff to follow standard operating procedures and maintain standards.

2.3 Supervise and perform dispensary duties, including reception, answering questions, and collecting prescription costs (BH site only).

2.4 Supervise delivery bag preparation based on the porter’s schedule.

2.5 Assist in dispensing various drugs, including named patient/unlicensed, cytotoxic, and HIV medicines, while adhering to labelling regulations.

2.6 Dispense prescriptions for in-patients and out-patients at the BH location, and provide patient counselling on medication use.

2.7 Fill Medicine Compliance Aids with patient discharge drugs as needed.

2.8 Request prescriptions from additional healthcare professionals as needed, under pharmacist supervision.

2.9 Dispense, order, receive, stock, return, and destroy controlled medications following established procedures. To accurately complete all connected records and swiftly examine any discrepancies.

2.10 Conduct final dispensing accuracy checks on prescriptions previously vetted by a chemist (after achieving ACPT certification).

2.11 Ensure an effective mechanism for storing and retrieving uncollected prescriptions.

2.12 Assist in maintaining established standard operating procedures for pharmaceutical dispensing.

2.13 – Assist in completing the end-oftheday task checklist.

2.14 Deputise for the Pharmacy Technician Team Manager (Chief Pharmacy Technician) for Dispensary and/or Distribution Services during their absence.

3.STORES: DISTRIBUTION RESPONSIBILITIES

3.1 Coordinate daily activities in the distribution store, prioritising tasks, meeting deadlines, and keeping the workload tracker up to date.

3.2 Responsible for stock control duties such as stock counts, investigations, processing, and monthly expiry checks.

3.3 Supervise and assist with stock assembly for wards and departments.

3.4 Supervise and assist with stock topping-up services for wards and departments.

3.5 Assist the Pharmacy Technician Team Manager (Chief Pharmacy Technician) in the development of the distribution service.

3.6 Assist in monitoring, reviewing, and documenting problems in distribution.

3.7 Ensure stock goods are thoroughly checked before delivery to wards/departments for non-certified staff.

3.8 Assist the Technician Team Manager in ensuring distribution staff complete the certificate of competency and adhere to protocols.

3.9 Perform additional distribution/store tasks as directed by the Technician Team manager.

3.10 Assist with ordering, receiving, issuing, and safely storing medicines in the Dispensary and Distribution areas.

3.11 Assist with quality control checks as directed.

3.12: Handle complaints and queries in accordance with protocols, and notify the Technician Team Manager as needed.

3.13 To ensure the distribution store’s security.

4.Stock Control Responsibilities

4.1 Assist with inventory management and pharmaceutical procurement for The Royal Free London Foundation Trust.

4.2 Supervise outstanding prescription supply. To ensure that ward chemists are informed and that products are ordered, dispensed and delivered to wards/patients in accordance with established processes.

4.3 Supervise and engage in frequent expiry date inspections for dispensary and satellite stock, ensuring any expired goods is removed per protocols.

4.4 Supervise and assist in frequent stock level checks of dispensary stock, investigating inconsistencies utilising pharmacy computer system.

4.5 Supervise and ensure safe processing of pharmaceuticals returned to the pharmacy department in compliance with Standard Operating Procedures.

5.OTHER DUTIES

5.1 Attend all relevant meetings.

5.2 Supervise and participate in outpatient pharmacy responsibilities, including deputising for the Lead Pharmacy Technician as needed.

5.3 Liaise with the Technician Team management for any issues, problems, faults, or complaints that exceed limitations.

5.4 Proactively assist change implementation.

5.5 Participate in teaching pharmacy technicians, support personnel, students, and ward staff.

5.6 Assist with new employee orientation.

5.7 Maintain satisfactory personal performance and professional standards, and strive to meet agreed-upon targets in the line manager’s annual staff review.

5.8 – Participate in pharmacy technician development forums and promote workforce development.

5.9 Contribute to the pharmaceutical wellbeing forum, promoting healthy lives and work-life balance.

5.10 To promote green initiatives and lower the department’s carbon footprint.

5.11 Complete the HEE-approved Practice/Educational Supervisor course (or equivalent) to enhance staff development within the department.

6.11 Participate in pharmacy late duty, weekend, and bank holiday service on a rotating basis.

6.12 Perform any additional duties assigned by the Pharmacy Technician Specialist (Lead Pharmacy Technician) or Pharmacy Technician Team Manager (Chief Pharmacy Technician).

Person Specification

Education and Professional Qualifications

Essential criteria

  • Has an NVQ Pharmacy Service Level 3 / recognised underpinning knowledge (BTEC Level 3 Diploma in the Principles and Practice of Pharmacy Technicians) or equivalent.
  • Registered with the GPhC as a pharmacy technician.
  • Understanding of the GPhC Standards of Conduct, Ethics, and Performance

Desirable requirements.

  • Accreditation in Training Skills (ATS) qualification, Educational Supervisor, Practice Supervisor, or working towards
  • Accredited Checking Pharmacy Technician (ACPT) certification or working towards
  • Accreditation in Medicines Management (AIMM) qualification / Medicines Optimisation Programme (MOP), or working towards
  • Leadership credentials (Edward Jenner, Mary Seacole, CPPE Leading for Change, etc.)
